Schengen Visa Application Guide for UK Residents (2026): Step-by-Step Process

By Marcus Vance (Senior Schengen Caseworker) •
Key Takeaways for Applicants A practical, step-by-step guide to applying for a Schengen visa from the UK in 2026. Covers which consulate to apply to, required documents (including the mandatory €30,000 travel insurance), how to book a VFS or TLScontact appointment, processing times, fees, and common reasons for refusal.

Who Needs a Schengen Visa from the UK?

Since Brexit, British citizens travelling to Europe for more than 90 days, or non-EU nationals living in the UK who hold passports from countries on the Schengen visa-required list (e.g. India, Pakistan, Nigeria, China, Bangladesh, Philippines, Sri Lanka, Nepal), must apply for a Schengen Type C Uniform Visa before travelling.

British citizens travelling for up to 90 days in any 180-day period do not need a visa but will need an ETIAS authorisation once it launches.

This guide is for non-EU nationals applying from the UK.

Step 1: Decide Where to Apply — Choosing the Right Consulate

You must apply to the consulate of the main destination country — the Schengen state where you will spend the most nights. If nights are equal across countries, apply to the country you enter first.

  • Visiting France and Italy for 5 nights each → apply to the French consulate (country of first entry).
  • Visiting Spain for 7 nights and Germany for 3 nights → apply to the Spanish consulate (most nights).
  • If your trip is purely transit and you have no main destination → apply to the consulate of the country you enter first.

Applying to the wrong consulate results in an immediate administrative rejection and loss of your visa fee.

Step 2: Gather Your Documents

Requirements vary slightly by consulate, but the following are standard across all Schengen states:

Mandatory for All Applicants

  • Valid passport — issued within the last 10 years, with at least 2 blank pages and valid for at least 3 months beyond your return date.
  • Completed application form — signed by the applicant. Available from the consulate website or VFS/TLScontact portal.
  • Two passport photographs — 35mm × 45mm, white background, taken within 6 months.
  • Schengen travel insurance — mandatory. Minimum €30,000 medical coverage valid for the entire Schengen area for the full trip duration. Zero or low excess clauses are strongly preferred. Print the full policy certificate including the coverage schedule.
  • Confirmed return flight reservation — with active PNR code. Do not purchase non-refundable tickets. A verified reservation from a travel agent or airline hold is sufficient.
  • Accommodation proof for every night — hotel bookings, apartment confirmation, or a host invitation letter (France: Attestation d'Accueil from your local mairie). Every single night must be accounted for.
  • Bank statements — last 3 months — official statements showing consistent income and sufficient balance. Guideline: approximately €50–100 per day of stay, varying by consulate.
  • Proof of UK residence status — BRP card, UK visa stamp or settled/pre-settled status letter. Non-UK nationals must show they are lawfully resident in the UK.
  • Employment letter and payslips — or equivalent for self-employed, students or retired applicants.

Additional Documents for Specific Situations

  • Self-employed: Business registration certificate, 2 years' tax returns, business bank statements.
  • Students: Enrolment letter from university, scholarship evidence, parent/sponsor financial support letter.
  • Visiting family or friends: Host's invitation letter, host's identity document copy, proof of host's residence in the Schengen area.
  • Minors: Birth certificate, both parents' passports, parental consent letter (notarised if one parent is not travelling).

Step 3: Book Your Appointment

Most Schengen consulates in the UK process applications through one of three visa application centre (VAC) networks:

  • VFS Global — handles France, Germany, Netherlands, Italy and others. Book at VFS Global UK.
  • TLScontact — handles Spain, Portugal, Belgium and others. Book at TLScontact UK.
  • BLS International — handles some countries including Italy (from certain UK locations).

Book as early as possible — appointments in London, Manchester and Edinburgh can fill up 4–8 weeks in advance, especially during summer months (June–September).

Step 4: Attend Your Biometrics Appointment

At your appointment you will:

  • Submit your physical documents (bring originals and copies).
  • Have your fingerprints and photograph taken (biometrics are stored for 5 years — if you applied within the last 5 years, biometrics may be waived).
  • Pay the visa fee (see below).

Step 5: Visa Fees and Processing Times

Applicant Type Standard Fee Processing Time
Adults (18+) €80 (approx. £68) Up to 15 calendar days
Children aged 6–12 €40 (approx. £34) Up to 15 calendar days
Children under 6 Free Up to 15 calendar days

Applications submitted in exceptional circumstances (e.g. family emergency, funeral) may be processed more quickly. Priority or Express processing is available through some VAC networks for an additional fee.

Step 6: After the Decision

  • Approved: Your visa sticker will be in your passport. Check the validity dates, number of entries (single, double or multiple) and the 'Duration of Stay' field carefully.
  • Refused: You will receive a written decision form stating the reason. You have the right to appeal or reapply. See our guide: UK Visa Refusal: What to Do Next.

The 90/180-Day Rule

A Schengen visa does not allow unlimited stay. You may spend a maximum of 90 days in any 180-day rolling window across all Schengen states combined. Overstaying triggers an automatic entry ban and may affect future UK visa applications.

Common Reasons for Schengen Refusal

  • Travel insurance not covering all Schengen states or not meeting the €30,000 minimum.
  • Accommodation not confirmed for every night of the trip.
  • Insufficient bank balance or unexplained deposits.
  • Applying to the wrong consulate.
  • No UK residence evidence (for non-British applicants).
  • Previous Schengen overstay on record.
